Terms of Service

By accessing or using the SYG Registry platform, website, mobile application, or any associated services (collectively, "the Platform"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not use the Platform.

These Terms constitute a legally binding agreement between you and SYG Registry ("SYG Registry", "we", "us", "our").

We reserve the right to update these Terms at any time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Platform after changes are posted constitutes your acceptance of the updated Terms.

Users under the age of 18 must have permission from a parent, legal guardian, or authorised adult cardholder before registering or making payment through the SYG Registry platform.

By completing payment on behalf of an under-18 applicant, the authorised cardholder confirms that:

• They are the parent, legal guardian, or authorised adult cardholder for the student
• They authorise the use of their payment method for the SYG Registry membership fee
• They understand this membership includes annual renewal charges unless cancelled in accordance with the SYG Registry cancellation policy
• The information provided in the registration is accurate and truthful

All parental or guardian consent records are securely logged with a timestamp and IP address for audit and compliance purposes.

Bank Authentication & 3D Secure Payment Verification

By proceeding with payment on behalf of an under-18 applicant, the parent, legal guardian, or authorised adult cardholder understands that their bank may require additional security verification through their banking app, SMS code, Face ID, fingerprint verification, passcode, or other authentication methods to verify the payment. This will require 3D Secure Authentication.

The completion of this bank authentication process confirms that the authorised cardholder approved and consented to the payment at the time of purchase. This security verification is handled directly by the cardholder's bank and Stripe payment system as part of the payment authorisation process. A record of this consent is stored alongside the Stripe payment confirmation for audit and compliance purposes.

You must be at least 18 years of age to create an account on SYG Registry. By creating an account, you confirm that:

• You are at least 18 years old (or have parental/guardian consent if younger)
• The information you provide is accurate and truthful
• You are not prohibited from using the Platform under any applicable law
• You will maintain the security of your account credentials

As a registered user of SYG Registry, you agree to:

• Provide accurate, current, and complete information during registration and at all times
• Keep your account credentials secure and not share login access with others
• Notify us immediately of any unauthorised access to your account
• Only register belt ranks and credentials that you genuinely hold
• Not impersonate any person, instructor, or entity
• Comply with all applicable laws in your jurisdiction
• Not use the Platform for any unlawful, harmful, or fraudulent purpose
• Treat all community members, instructors, and academies with respect

The following activities are strictly prohibited on SYG Registry:

Fake Profiles & Fraudulent Claims

• Creating a profile with a false belt rank or fabricated lineage
• Submitting a verification request naming an instructor without their knowledge or consent
• Claiming to be a black belt or higher when you are not
• Submitting false competition records
• Creating multiple accounts to circumvent suspension or bans

QR Code Misuse

• Reproducing, duplicating, or transferring your QR code to another person
• Attempting to clone, forge, or replicate another member's QR code
• Using the QR code system in any way that misrepresents identity or rank

Platform Abuse

• Attempting to access restricted admin areas or another user's account
• Reverse-engineering, scraping, or data-mining the Platform
• Uploading malware, viruses, or harmful code
• Attempting to overload or disrupt the Platform's infrastructure
• Using automation tools or bots to interact with the Platform

The instructor verification system is central to the integrity of SYG Registry. The following rules apply:

• Only submit a verification request if your named instructor genuinely awarded you the belt rank claimed
• You may only name one instructor per verification request
• If an instructor denies your claim, you may not resubmit with the same instructor for that belt rank
• Attempting to fabricate instructor approval is grounds for immediate account suspension
• Instructors who deny a claim in bad faith may be reported to SYG Registry for review
• SYG Registry reserves the right to conduct independent AI-assisted and manual verification of claimed credentials

SYG Registry relies on the cooperation of registered academies and verified black belt instructors to complete student rank verification checks.

If a student submits an application for verification and the listed black belt instructor or academy does not respond to verification requests, SYG Registry cannot be held responsible for delays, incomplete applications, or unsuccessful verification outcomes.

It is the responsibility of the academy and/or verified black belt instructor to confirm whether a student's belt rank, training history, or certification is valid.

SYG Registry does not issue belt ranks, promotions, or certifications and only records information that has been confirmed by the student's current verified black belt instructor or academy.

If no response is received from the listed instructor or academy within a reasonable timeframe, the student application may remain pending, delayed, or declined until sufficient verification is provided.

If an academy chooses to voluntarily remove itself from the SYG Registry platform for any reason, the following conditions will apply:

• The academy's SYG dashboard access will be removed and deactivated.
• The academy will no longer have access to manage, verify, approve, deny, or update any student profiles connected to their academy account.
• The academy will be removed from the SYG Gym Finder and will no longer appear as a registered academy on the SYG Registry platform.
• Any academy-specific verification privileges connected to the academy account will immediately cease upon removal.
• Student profiles previously linked to the academy may remain on the SYG Registry platform for historical verification purposes; however, the removed academy will no longer have authority or administrative control over those profiles.
• SYG Registry reserves the right to retain historical verification records, audit logs, and verification history for compliance, security, and integrity purposes.

If you register an academy on SYG Registry, you agree that:

• The academy details provided are accurate and represent a legitimate martial arts training facility
• You are authorised to register the academy on behalf of the owner/operator
• You will not use the academy account to endorse fraudulent or unverified belt claims
• The academy subscription plan selected accurately represents your intended use
• Academies may not list students as affiliated unless those students have consented
• SYG Registry reserves the right to suspend or remove any academy account that violates these Terms

SYG Registry reserves the right to suspend, restrict, or permanently remove any account at our sole discretion, including but not limited to:

• Submission of false, fraudulent, or misleading information
• Violation of any section of these Terms
• Conduct that is harmful, abusive, or threatening to other users
• Repeated or serious misuse of the verification or QR code systems
• Failure to pay for a subscription or disputed chargebacks
• Court orders, law enforcement requests, or legal obligations

We will endeavour to notify you of a suspension unless doing so would compromise a security investigation. You may appeal a suspension by contacting support@sygregistry.com.

All payments are processed through Stripe, Inc. By purchasing a membership, registration, or apparel, you agree to the following:

Membership Registrations

• Registration fees are non-refundable once your profile has been activated and a QR code has been issued
• Annual memberships automatically renew at $9.99/year unless cancelled before renewal date
• Access code registrations are subject to the same terms as paid registrations

Membership Cancellation

Members can cancel their paid SYG membership at any time by logging into their account, opening the user menu in the top-right corner, and selecting 'Cancel Membership' underneath 'Sign Out'. The member must confirm the cancellation twice before the cancellation is submitted.

Once confirmed, SYG Registry will immediately process the cancellation request and cancel the linked Stripe renewal payment so the member is not charged again. The member's paid membership access will remain active until the end of their current billing period (as determined by Stripe), after which paid membership features and QR verification access may be removed according to the account status.

Historical verification records and registry credentials may remain stored for registry integrity and compliance purposes, but paid membership benefits will cease at the conclusion of the current billing period. A confirmation email will be sent to the member confirming the cancellation date and final access period.

If a cancellation request fails due to technical issues with Stripe, the member will receive an error message and should contact support@sygregistry.com for manual assistance.

Payment Method Changes

If you wish to change your payment method, you must contact SYG Registry at least seven (7) working days before your next payment due date. This allows sufficient time for payment details to be updated before any renewal payment is processed.

Cooling-Off Period & Consumer Cancellation Rights

Under the Consumer Cancellation Regulations, you are entitled to a 14-day cooling-off period from the original date you agreed to these Terms and Conditions and joined the membership. This cooling-off period applies only to your original membership purchase and does not apply to any subsequent renewal payments. If you cancel within this period, you will be entitled to a refund of your subscription payment; however, your SYG Registry QR code and associated membership profile will be voided and removed from active status.

Digital Membership & Automatic Renewals

SYG Registry memberships are exclusively digital services, accessible immediately through our mobile application and related digital platforms. By joining, you acknowledge and agree that your membership will automatically renew on a recurring basis unless cancelled in accordance with these Terms.

If you do not cancel before the final working day prior to your renewal date, the renewal payment will remain valid and payable. To cancel, you must either:

• Log into your membership account and select the cancellation option; or
• Contact SYG Registry directly by email or through our official contact channels.

If cancelling via SYG Registry support or email, you must contact us at least seven (7) working days before your scheduled renewal date. If cancelling directly through your online account, cancellation must be completed no later than the final working day before your renewal date. If the renewal payment is successfully processed due to missed deadlines, it will remain valid and non-refundable.

Academy Subscriptions

• Academy subscriptions are billed in advance on a monthly or annual basis
• Cancellation stops future billing but does not entitle you to a refund for the current period
• Downgrading your plan may result in loss of features associated with the higher tier

Refund Requests

• Refund requests must be submitted within 14 days of payment to be considered (original purchase only)
• Refunds will not be issued once a QR code has been issued and activated, except within the cooling-off period
• SYG Registry reserves the right to issue or decline refunds at its discretion
• SYG Registry reserves the right to decline a refund request at its discretion if the member has failed to comply with the Terms and Conditions relating to membership cancellation procedures, notice periods, or renewal requirements

SYG Registry sells official branded apparel including rash guards, hats, hoodies, and tracksuits. The following terms apply:

• All apparel orders are final once dispatched
• Incorrect size orders: exchange requests must be made within 14 days of delivery
• Faulty or damaged items will be replaced or refunded at SYG Registry's discretion
• Apparel featuring your personal QR code cannot be returned unless there is a manufacturing defect
• Delivery times are estimates only and may vary by location
• International orders may be subject to customs duties payable by the recipient

By registering a verified profile on SYG Registry, you understand and agree that:

• Your name, photo, belt rank, SYG ID, and academy affiliation will be publicly visible once admin-approved
• Your profile may appear in search engine results (Google, Bing, etc.)
• Your QR code will resolve to your public profile when scanned by anyone
• You grant SYG Registry a non-exclusive licence to display your profile information publicly on the Platform
• You may request your profile be made private or removed by contacting us

All content, design, trademarks, logos, and software associated with SYG Registry are the intellectual property of SYG Registry unless otherwise stated.

• You may not reproduce, copy, or distribute the SYG Registry logo, brand assets, or design without written permission
• The SYG Registry QR code design and verification system are proprietary
• User-generated content (profile photos, bios) remains owned by the user, but you grant us a licence to display it on the Platform
• You must not create derivative works, competing services, or counterfeit materials based on SYG Registry

SYG Registry is a professional identity and verification platform for the global BJJ community. Users are expected to:

• Engage respectfully with all other members, instructors, and academies
• Not use the Platform to harass, defame, or threaten any individual
• Not post discriminatory, offensive, or hateful content
• Report suspected fraudulent profiles to support@sygregistry.com
• Uphold the integrity of the Brazilian Jiu-Jitsu community

To the maximum extent permitted by law, SYG Registry shall not be liable for:

• Any indirect, incidental, special, consequential, or punitive damages
• Loss of profits, data, reputation, or business opportunities arising from use of the Platform
• The accuracy of belt ranks or credentials claimed by users — verification is based on instructor confirmation and AI analysis, not physical assessment
• Actions taken by third parties including instructors, academies, or payment processors
• Platform downtime, technical errors, or data loss outside our reasonable control

SYG Registry\'s total liability shall not exceed the amount paid by you to SYG Registry in the 12 months preceding the claim.

The Platform is provided "as is" and "as available" without warranty of any kind. We do not warrant that the Platform will be uninterrupted, error-free, or free from viruses or harmful components. Verification of belt rank does not constitute a guarantee of fighting ability, coaching qualifications, or professional conduct.

In the event of a dispute arising from these Terms or your use of SYG Registry:

• Contact us first at support@sygregistry.com to resolve the matter informally
• If unresolved within 30 days, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales
• These Terms are governed by the laws of England and Wales
• Nothing in these Terms affects your statutory rights as a consumer under UK law

SYG Registry integrates with the following third-party services, each governed by their own terms and privacy policies:

• Stripe, Inc. — Payment processing
• Uniqode — Dynamic QR code generation
• Google Places API — Address autocomplete
• Base44 — Application infrastructure and hosting

We are not responsible for the practices of these third parties.
